Am I required to use a specific caterer for my event?

Wolf Trap requires using a caterer from its Preferred Vendor List. Clients are not permitted to bring their own food, beverage, or alcohol. Wolf Trap offers a variety of caterers to suit every need and budget, and clients benefit from working with caterers with a thorough knowledge of Wolf Trap’s facilities, rules, and regulations.

Can I bring my own alcohol?

All bar and beverage services must be provided by Wolf Trap. We offer a variety of packages to suit different needs and budgets. No outside liquor is permitted.

Can I only use vendors (photographers, florists, entertainment companies) on your Preferred Vendor List?

With the exception of catering and beverage services (as noted above), you may work with any vendor you choose. We ask that third party vendors schedule a site visit at least 2 weeks prior to the event to review facility rules and regulations. We also require a Certificate of Insurance or proof that the third party vendor is covered under your company’s insurance policy.

Can I have live music?

Absolutely. As with other third party vendors, all entertainment vendors—bands, DJs, musicians—must have a Certificate of Insurance or be covered under your company’s insurance policy. We require that entertainers and musicians provide their own sound equipment and notify Wolf Trap of their electrical needs at least 2 weeks in advance. Third party vendors must follow Wolf Trap’s facility rules and regulations.

How do I secure a facility and date for booking?

A facility may be held for up to 2 weeks and holds must be requested in writing. However, if a facility is on hold and another inquiry is received, you will then have up to 3 business days to confirm your booking. To secure a space, you must sign a rental agreement and return it with a 50% deposit (along with a Certificate of Insurance if you are a company).

Do you offer discounts for nonprofit organizations?

As a nonprofit organization itself, Wolf Trap Foundation does not offer discounts for other nonprofit groups.

Which address should I use on materials related to the event?

Be sure to specify your facility’s exact name and address on all invitations and promotional materials. Event attendees who search for “Wolf Trap” on a GPS device may not reach the correct destination. You can also share this link to directions and a map

    What are the rental fees and how much time do they permit?

    Rental fees for reception and meeting spaces are based on total number of hours used. Events longer in duration, or requiring additional setup and breakdown time, are subject to an increase in rental fee. Weekday rental fees are based on full (4+ hours) or half (0-4 hours) day usage. Evening and weekend rental fees start with an 8-hour rental period—which assumes 2 hours for load-in and setup time, 4 hours of total guest/event time, and 1 hour for breakdown and load-out.

    What does the rental fee include?

    Rental fees include the use of the facility, WiFi, ample parking, iPod hook-up, and onsite kitchen access. Kitchen access is open to clients at The Barns, but only to Wolf Trap Catering staff at the Center for Education.

    What time can events begin and end?

    Load-in may not start prior to 7 am, and all events must conclude by 11 pm (not including load-out time).

    Is the Filene Center available to rent?

    The stage was built only for presenting performances. It is not available for event rentals.

    What are the rental fees and how much time do they permit?

    Rental fees are based on a daily rate. Decks are only available on days with scheduled Filene Center performances.

    What does the rental fee include?

    Rental fees include use of the facility only. In-house tables and chairs are included if you use Wolf Trap Catering or for an additional flat fee of $250.

    What time can events begin and end?

    Events at the park are only permitted in conjunction with a Filene Center performance and may begin no earlier than 2 hours prior to showtime. Events must conclude by the start time of the performance. In addition, all event guests must have tickets for that night’s performance. Load-in may not take place before 4 pm for either deck or before 12 pm during the Children’s Theatre-In-The-Woods season.

    Do you offer event parking?

    The Filene Center offers parking for every performance. Guests should follow normal parking procedures. Two parking passes to a small permit-only lot, adjacent to the decks, are available by request and only for use prior to the event.
