POSITION REPORTS TO: Senior Director, Human Resources
POSITION MANAGES: Interns
POSITION LOCATION: Hybrid - will require days onsite and allow telework
Wolf Trap Foundation for the Performing Arts is seeking a Human Resources Generalist who will serve on a three-person HR team, supporting approximately 120 full-time and 500 seasonal/variable employees. Manage the day-to-day operations of the Foundation’s recruiting and training initiatives, ensuring a positive candidate and employee experience. Determine and coordinate annual and annual ad hoc training opportunities. Perform general HR responsibilities, taking the initiative to advance various HR processes, programs and projects. Act as back-up to the Human Resources Generalist (Benefits and Employee Relations) to ensure continuity of workflow and to provide support during peak periods.
DUTIES AND RESPONSIBILITIES:
Recruiting/Staffing- Research, develop, implement and measure effective recruiting and talent acquisition strategies, in consultation with the Senior Director, to attract a diverse pool of qualified and capable talent for the Foundation
- Collaborate with hiring managers to understand position requirements/ideal candidate profiles and create accurate position descriptions; maintain updated position descriptions
- Draft and post openings to Foundation website using Paycom ATS and select additional sites
- Source candidates using various methods including networking, social media, new job posting sites, etc.
- Identify, screen and present qualified applicants to hiring managers for full-time positions; track candidates; coach and guide hiring managers through the hiring process
- Conduct reference checks and present offers for full-time positions
Prepare offer letters and related correspondence; initiate onboarding and background checks for full-time employees - Manage the offer letters, onboarding and background checks for approximately 300 seasonal/variable employees (non-union)
- Provide hiring managers and the Senior Director, HR timely and accurate recruiting reports
- Coordinate and maintain ATS, conduct user training for hiring managers, maintain Recruiting Guide and other materials, review and update policies and procedures
- Communicate with applicants in a timely manner and advise candidates on the interview and hiring process, ensuring a positive and effective candidate experience
- Organize and attend seasonal job fairs and other networking opportunities
- Ensure compliance with federal, state and local employment laws and regulations and maintain knowledge of trends and best practices
- Manage business and KPI processes for new positions
Training and Development
- Identify, develop and coordinate or lead training sessions (i.e., LinkedIn Learning, Sexual Harassment Prevention and additional ad hoc annual trainings); select and evaluate instructors
- Recommend training programs to employees and managers to maintain or improve job skills; respond to questions and requests
- Evaluate program effectiveness through assessments, surveys, and feedback
- Maintain knowledge of the latest trends in training and development
Budget - Prepare the recruiting and training budgets; maintain records and submit expenses
- Assist the HR Generalist (Benefits and Employee Relations) and Senior Director with annual budget planning, projections, and reforecasts
- Process expense reimbursements, invoices, and check requests
Other Essential Responsibilities
- Help facilitate the annual merit cycle process, including market data updates, and annual performance management process
- Collaborate and cross-train with and serve as back-up to Human Resources Generalist (Benefits/Employee Relations)
- Assist with researching, reviewing, developing, and administering HR policies and programs.
- Critically review and analyze current policies and procedures to recommend and implement changes leading to best-practice operations.
- Serve as project manager for various HR programs and initiatives.
- Update and maintain organizational chart; complete annual EEO-1 reporting and prepare HR analytics; conduct exit interviews
- Serve on the Foundation’s Culture and Belonging Committee; actively participate in developing and implementing initiatives and strategies to attract, recruit, and maintain an inclusive workplace
- Other duties as assigned
EDUCATION AND EXPERIENCE:
- Bachelor’s Degree in Human Resources Management, Business Administration, Psychology or related field, or equivalent, transferrable work experience
- 5+ years of relevant and progressive Human Resources experience with a focus on full life cycle recruiting and HR generalist responsibilities; training experience a plus
- PHR, SHRM-CP, or other HR certifications strongly preferred
- Non-profit, performing arts experience preferred
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:- Direct experience screening and interviewing candidates
- Proven knowledge of sourcing techniques including internet and social media sites
- Demonstrated ability to quickly build positive relationships with candidates and deliver a positive applicant experience through proactive, authentic communication and efficient process management
- Thorough knowledge of employment laws and best practices, with special emphasis on full life cycle recruiting and the ability to stay up to date on changing laws and regulations
- Creative, innovative, proactive, motivated and results and customer service-oriented
- Willingness to take ownership of and prioritize a wide range of responsibilities, with changing priorities and a drive for continual improvement
- Critical thinker, able to identify issues and opportunities, provide solutions, and reach consensus with multiple stakeholders
- Act with integrity; use discretion and good judgment in handling sensitive and confidential information
- Ability to process information quickly and accurately, leading to sound decision making
- Provide consultative, problem-solving support for challenging staffing needs
- Solid technology skills including Microsoft Office (Outlook, Word, Excel and Power Point); experience with Paycom ATS is a plus or the ability to learn the system quickly
- Some travel to area job fairs
- Occasional evening and weekend work required

Wolf Trap Foundation for the Performing Arts is seeking a Coordinator, Social Media, to research and create original content, drive organizational awareness, and tell the story of the Foundation’s diverse programs for an ever-growing and evolving online audience. The position provides support for the social media team. Responsibilities include crafting, creating, and curating content that is engaging, meaningful, builds community, and promotes interest in Wolf Trap’s programs, events, fundraising, and performances at the Filene Center, Children’s Theatre-in-the-Woods, and The Barns at Wolf Trap, as well as Wolf Trap’s education programs and Wolf Trap Opera’s professional training program. As a member of the in-house social media team, this position will focus on crafting compelling written content, monitoring channels, and elevating the social media team by way of creative collaboration, strategic thinking, and engaging the Foundation’s online community.
DUTIES AND RESPONSIBILITIES:
Social Media Copywriting:
- Craft timely, relevant copy that engages Wolf Trap audiences and is aligned to the Foundation’s objectives—including social media posts, captions, status updates, events, blog posts, polls, contests, etc.
- Research, write, edit, and publish engaging copy for various social media networks, including Facebook, Instagram, TikTok, LinkedIn, and YouTube.
- Occasionally support Foundation programming with paid social media copywriting—including drafting, routing, and providing content to external vendors.
- Optimize social media posts (language, tone, messaging) based on target audience’s behaviors and platform.
Content Creation and Curation:
- Produce a regularly updated social content editorial calendar. Optimize content for different social media platforms and ad needs.
- Develop performance-specific content and deploy social media tactics to engage and amplify the impact of live audiences during Wolf Trap performances. Attend select performances to create and curate content.
- Ensure platforms have a steady flow of written and visual content, including daily updates, photos, graphics, and videos.
- Use critical thinking skills and best practices to combine edits and produce clear copy for deployment on social media channels.
- Support Assistant Director, Education Communications by researching affiliates and other educational institutes on social media and providing suggestions to align industry content.
- Prepare seasonal Canva brand kit in alignment with branded assets created by the Creative team.
Channel and Community Management:
- In collaboration with the social media team, monitor and actively engage with patrons on social channels (Facebook, Instagram, TikTok, and LinkedIn), staying apprised of the latest trends and changes that may impact channel performance and propose appropriate content for Wolf Trap social media accounts.
- Connect with and proactively interact with artists’ social properties and online fan-base to increase awareness of upcoming Wolf Trap performances.
- Cultivate an ever-growing and engaged online community of Wolf Trap supporters. Facilitate conversations between patrons and the organization.
- In partnership with Manager, Social Media, identify social media influencers and content creators that align with various brand pillars, and assist in outreach as needed.
- Collaborate with in-house graphic designers and the social media team, to ensure that visuals align with the Foundation’s look/feel.
- Schedule out timely, error-free content on social media channels.
Cross-Departmental Collaboration:
- Collaborate with Development, Special Events, Education, Production and Programming, as well as other departments to identify opportunities to promote Wolf Trap activities via social media.
- Contribute to development of photo and video library, collaborating with Communications and Marketing and the Creative Team to ensure an organized, accessible set of assets to populate social channels.
- Work with Communications, Marketing, and Creative teams to brainstorm, develop, and enhance digital content for patrons.
- Regularly review content from team members and provide suggestions on how to enhance social media initiatives, strategies, videos, digital publications, blogs, content, etc.
Monitoring and Analysis:
- Daily monitoring of Wolf Trap channels to assist with patron needs, engagements, and trends. Refer patron concerns and conversations to relevant staff.
- Measure, analyze, and report social media impact.
- Regularly create reports on social media metrics such as engagement, reach, follower
- growth, etc.
On Site Activities:
- Provide as-needed content generation and staffing support for the Communications and Marketing department in its efforts surrounding both the Filene Center, Children’s Theatre-in-the-Woods, and The Barns at Wolf Trap performance seasons, special events, audience development, fundraising, and other initiatives.
- In collaboration with the social media team, regularly capture on-site multimedia content, etc. for use on social.
- Assist the Manager, Social Media with press office operations, including greeting influencers and content creators, staffing special events, etc.
EDUCATION AND EXPERIENCE:
- Bachelor’s Degree in Digital Media, Communications, Marketing, Public Relations, Digital Audience Development, or related field or equivalent transferrable experience.
- At least 2 years professional social media experience, including experience cultivating online communities on behalf of a brand.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Portfolio showcasing professional social media experience is preferred.
- Impeccable writing, editing, and research skills, and the ability to write effectively across a variety of styles and channels.
- Knowledge of the principles and best practices of social media content for major platforms (including Facebook, Instagram, Threads, YouTube, LinkedIn, TikTok, and X/Twitter) and trends
- Demonstrated success in conceiving and deploying written and visual content to further organizational goals.
- Outstanding organizational and time management skills, as well as the ability to effectively manage multiple priorities and stakeholders.
- Strong relationship-building skills. Ability to contribute to a cross-functional team, and to execute digital communications in a collaborative manner.
- Ability to thrive in a fast-paced, dynamic environment; exercise independent discretion and initiative; and combine an attention to detail with broader strategic vision.
- Basic multimedia skills, including the ability to create and manipulate basic graphic, photo, and video content for use in social media. Basic knowledge of Adobe Suite.
- Interest in music, especially classical and opera, helpful but not required.
- Spanish language writing and reading skills preferred but not required.
- Evening and weekend work required.
- Sensitivity and commitment to the mission of Wolf Trap Foundation for the Performing Arts.
